PDF vs Word: which format should you use?
PDF vs Word, in one line: use Word while you are still writing or changing a document, and use PDF when it is final and must look the same on every phone, computer and printer.
The table below shows the difference at a glance. After that, we go through common situations and how to switch from one format to the other.

| File size | Small for plain text. | Small for text, larger for scans. Can be compressed. |
| Opening it | Needs Word or a similar app. | Opens in any browser. |
Why Word is good for writing
A Word file is a working file. You can fix a spelling, add a paragraph, change the font or move a table, and everything else adjusts around it. That is why most letters, reports, resumes and assignments start life in Word or a similar app like Google Docs.
The weak point shows up when you send it. The other person may have different fonts or a different app. Then lines move, a table spills onto the next page, or Hindi text shows as boxes. What looked neat on your screen can look messy on theirs.
Why PDF is good for sending
A PDF is more like a printed page saved as a file. The fonts and layout are locked in, so it looks the same on a cheap phone, a laptop or an office printer. Anyone can open it in a browser without installing anything.
That is why job portals, exam forms, banks and offices nearly always ask for PDF uploads. It is also harder for someone to change a PDF by mistake, which matters for things like certificates, bills and signed letters.
The weak point is editing. If you find a mistake in a PDF, the clean fix is to change the original Word file and make a new PDF, not to edit the PDF itself.
Which one to use: common cases
- Resume for a job portal: PDF, unless the job post asks for Word. Keep the Word copy so you can update it later.
- Government or exam form upload: PDF. Check the size limit written on the form. For new notices, our sister site SarkariPatra lists them daily.
- College assignment: follow what your teacher asks. If they will mark it on screen, PDF is safer.
- A draft you want a friend to correct: Word, so they can make changes.
- Bill, receipt or certificate: PDF.
- Anything you will print at a shop: PDF, so the page breaks do not move on their computer.
How to turn a PDF into Word
Got a PDF you need to edit? Use PDF to Word.
- Open PDF to Word and choose a PDF with selectable text.
- Press Convert.
- Download the .docx file and edit it in Word.
Be aware that only the text and paragraphs come across. Columns, tables and pictures do not. If the PDF is a scan, first read the text out with OCR scanned PDF. Our guide on converting PDF to Word explains the limits in more detail.
How to turn Word or plain text into PDF
If you already have a Word file, the easiest way is inside Word itself: use Save As or Export and choose PDF. In Google Docs, use File, Download, PDF.
If you only have some text, such as a short letter or notes, paste it into Text to Word & PDF, choose PDF and download. For Hindi text, choose Word there instead, because the PDF option supports English letters only.
Once you have the PDF, you can make it smaller with Compress PDF or join several into one with Merge PDF. More converters are on the PDF converter page.
A simple habit that saves trouble
Keep two copies of anything important: the Word file you can edit, and the PDF you send. When something changes, update the Word file and make a fresh PDF. You will never have to fight with editing a PDF again.
Frequently asked questions
Is PDF or Word better for a resume?
PDF is usually better, because your layout stays neat on the recruiter's screen. Send Word only when the job post asks for it.
Can I edit a PDF like a Word file?
Not easily. Convert it with PDF to Word to get the text back, but expect to fix tables and pictures by hand.
Which is smaller, PDF or Word?
For plain text, both are small. A scanned PDF can be large, but Compress PDF can bring it down for uploads.
Why do forms ask for PDF and not Word?
A PDF looks the same on every computer and is hard to change by mistake, so the office sees exactly what you sent.
