How to convert Excel to PDF

To convert Excel to PDF, open the sheet in Excel, go to File > Save As (or Save a copy), pick PDF (*.pdf) in the "Save as type" list and press Save. In Google Sheets, it is File > Download > PDF.

You do not need any converter website for this. Luvkaam does not convert Excel files itself, but once you have the PDF, our free tools can make it smaller, join it with other files or remove extra pages.

Step 1: Make the sheet fit the page first

This is the step most people skip, and it is why the PDF comes out with columns cut off or one column sitting alone on page 2. Fix it before you save.

  • Delete empty rows and columns at the end of the sheet, so they do not become blank pages.
  • If the sheet is wide, turn the page to Landscape.
  • In Excel, open the Page Layout tab, click the small Page Setup arrow, go to the Page tab, choose Fit to and type 1 page wide. You can leave the "tall" box empty if the sheet is long. This method is from Microsoft's own help page.
  • Do not squeeze a very big table onto one page. If the text becomes too small to read, it is better to have two or three readable pages.

Step 2: Save as PDF in Microsoft Excel

  1. Click the File tab.
  2. Choose Save As or Save a copy.
  3. Type a clear file name, for example fee-details-2026.pdf.
  4. In the Save as type list, choose PDF (*.pdf).
  5. Choose Standard if you will print it, or Minimum size if you will email or upload it.
  6. Click Options if you want to choose which part to save, then OK.
  7. Click Save.

These steps follow Microsoft's guide to saving as PDF. One thing to know: links that jump to another cell inside the sheet stop working in the PDF. Links to websites still work.

Step 3: Save as PDF in Google Sheets

  1. Open the sheet in Google Sheets. If it is an Excel file, upload it to Google Drive and open it there.
  2. Click File > Download and pick PDF.
  3. A settings screen opens. Choose the page size (A4 is normal in India), the orientation, and the scale. "Fit to width" stops columns from being cut.
  4. Press Export. The PDF downloads to your computer.

This also works if you do not have Microsoft Excel at all, and Google Sheets is free with a Google account.

Step 4: Fix the PDF with Luvkaam

Why send a PDF instead of the Excel file?

A PDF looks the same on every phone and computer, and the person cannot change your numbers by mistake. Offices, colleges and most online forms prefer PDF for this reason. Keep the Excel file too, so you can edit it later and make a fresh PDF. For more on this, read PDF vs Word: which format to use.

Frequently asked questions

Can Luvkaam convert Excel to PDF?

No. Luvkaam does not open Excel files. Use Save As PDF in Excel or Download as PDF in Google Sheets, then use Luvkaam to compress, merge or split the PDF.

Why are my columns cut off in the PDF?

The sheet is wider than the page. Switch to Landscape and set it to fit 1 page wide before saving, as in Step 1.

Why does my PDF have blank pages?

Usually there are empty cells with formatting far below or to the right of your table. Delete those rows and columns, or remove the blank pages later with Split PDF.

No. The PDF only shows the results as they look on screen. The formulas stay in your Excel file.
